Laboratories Module
Manage laboratories, services, orders, and payments in a traceable flow. Standardize costs and times, control balances, and maintain evidence with receipts.
Laboratories
Centralize the management of your external (or internal) laboratories and control in one place the services, orders, costs, deliveries, and payments. With Odontomy, the work with the laboratory is traceable from start to finish: from the definition of the procedure to the final reconciliation of the balance.
What does this module solve?
- Order and traceability: each order is linked to the laboratory, clinic, procedure, and key dates.
- Profitability control: record laboratory costs vs patient costs to measure margins.
- Status tracking: pending, sent, received, delivered (according to your flow) with associated dates.
- Payments and balances: record payments, attach receipts, and control balance by order and by laboratory.
- Quick operation: filters, searches, pagination, bulk actions, and export.
Laboratories (List)
From the Laboratories list, you can manage your suppliers, review their status, and operate in bulk without wasting time.
Filters and search
- Filter by status (for example: activated / deactivated).
- Search by name or contact details to find a laboratory instantly.
- Pagination and item quantity selector for long lists.
Bulk actions
- Select multiple laboratories and apply batch actions (ideal for periodic maintenance).
- Reduction of repetitive tasks when working with multiple records.
Quick add
- “Add Laboratory” button to create a new supplier in seconds.
- Prepare the laboratory to start assigning services and receiving orders.
Laboratory details
Each laboratory has a complete profile to standardize information, avoid operational errors, and facilitate communication.
Operational suggestion: keep the laboratory Activated when it is available to receive orders. If a supplier stops working with your clinic, you can deactivate it without losing the history.
- Key data: name, RUT/VAT, email, phone, and status.
- Location: address, line 2, city, state, and postal code.
- Geographic coordinates: location on the map for quick reference (useful for logistics and coordination).
- Controlled editing: “Edit Laboratory” button and simple navigation to return to the list.
Laboratory services (Procedures)
Define the catalog of services that each laboratory offers and standardize costs, times, and conditions. This speeds up the creation of orders and improves financial control.
List with operational data
- Laboratory associated with the service.
- Laboratory work cost and cost to the patient.
- Estimated days to anticipate deliveries.
- Status (active/inactive) to keep the catalog clean.
Filters, search, and bulk action
- Filter by laboratory and status.
- Search by name or code.
- Apply bulk actions to update multiple services.
Duplicate to save time
- Copy function for reusing configurations (ideal when a price or variant changes).
- Avoid re-entering repetitive data when creating similar procedures.
Service details
Review all information of a procedure in a clear view, ready for audit and control:
- Identification: name, code, and laboratory.
- Costs: laboratory work cost and cost charged to the patient.
- Time: estimated delivery days.
- Additional information: internal notes for instructions or specific conditions.
- Status: active/inactive.
Laboratory orders
Manage the complete cycle of an order: creation, status, dates, costs, balance, and item details (for example, piece/tooth and description).
Order list
- Filters by status, laboratory, and clinic.
- Date range (from/to) for audits and monthly control.
- Quick search and bulk actions.
- Typical columns: procedure, laboratory, status, requested, estimated delivery, costs, amount paid, balance, and actions.
Statuses and dates
- Requested on: creation/request date.
- Sent on: when the order is sent to the laboratory.
- Received on: when the laboratory confirms receipt.
- Delivered on: when the clinic receives the final work.
- Estimated delivery: projection for clinical planning and scheduling.
Items by order
- Add items with procedure, tooth, description, and quantity.
- Autocomplete: when selecting a procedure, description, costs, and estimated days can be inherited.
- Edit and delete items to keep the order correct.
Best practices: first define the services by laboratory (costs and days). Then, when creating orders, the team loads faster and with fewer errors, maintaining consistency in prices and times.
Laboratory payments
Record payments, control amounts, and reconcile balances with evidence. This module helps you keep accounting organized and quickly detect outstanding balances.
Financial filters
- Date range: paid from/to and invoice date from/to.
- Filtered by laboratory, payment method, and clinic.
- Filter by minimum/maximum amount for audits and control.
